Payroll Specialist Intern Date: July 1, 2016 Reports to: Executive Director of Human Resources/TLE Supervises: N/A
Qualifications: High School Diploma or Equivalent (2) Years Payroll Experience – Minimum Requires District Provided Bonding
Job Goal: Provides an accurate and systematic payroll service, with limited supervision.
Employment Terms: 12 Month Contract 7:30 A.M. – 4:30 P.M., exclusive of a lunch
FLSA Classification: Exempt
Evaluation: Annually by Executive Director of Human Resources/TLE

Regular Requirements: Sit for extended periods; twist at the neck and trunk; bend and reach at, below and above shoulder level, repetitive use of fingers and hands to grasp and/or operate equipment; lift/move up to 15 pounds
Occasional Requirements: Ability to administer CPR Walk, reach with hands and arms overhead, above shoulder and horizontally; lift/move up to 25 pounds
Visual Requirements: Close, color, peripheral, depth perception, ability to adjust focus
Hearing/Speaking Requirements: Adequate to exchange information
Essential Duties and Responsibilities: 1. Processes payroll data for all school district employees and maintains accurate, up-to-date files of all payroll information. 2. Codes all employee salary information (OCAS Coding). 3. Calculates all salaries and prepares salary sheet for Personnel Department. 4. Inputs all time sheets, adjustments, and docks and prepares, verifies, and distributes direct deposits. 5. Balances payroll and withholding accounts. 6. Prepares required governmental reports; IRS 941s,W-2s, OTC, OESC, etc. 7. Distributes payroll deductions in compliance with local, state and federal statutes. 8. Works with representatives of government, employee unions and retirement agencies to provide information (including DOL, OEA, and OTRS). 9. Oversees all aspects of the time clocks for district, including docks and comp time. Ponca City Public Schools Job Description Special Services Secretary Page 2 of 2 10. Processes final salary affidavits. 11. To ensure continuity of services, remote work may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee’s eligibility for remote work will be determined by the superintendent of schools. Expectations and guidelines for remote work will be distributed by the employee’s supervisor, based on his/her role and responsibilities. 12. Performs all other tasks as supervisor may assign.
